1. Introduction

  1. Commitment to Privacy: At Koho, we prioritise the privacy and security of our clients, service users, and website visitors. We recognize the significance of personal data and are committed to handling it responsibly, in full alignment with the UK Data Protection Act 2018 and the GDPR as applicable within the UK.
  2. Our role. Koho acts as a data controller for personal data about visitors to our website, people who contact us, and the individuals who administer our customers' accounts — for this data we determine the purposes and means of processing. Where a customer connects their own advertising or analytics account to Koho (Section 3), we act as a data processor: we read and process that data on the customer's documented instructions and for their purposes, not our own. Section 3 describes that processing in detail.
  3. Use of Cookies: To enhance our website and ensure a seamless user experience, Koho utilises cookies. Essential cookies are used for operational purposes, and we will seek your consent for any non-essential cookies, adhering strictly to UK privacy regulations.
  4. Identification of the Data Controller: In this policy, "we," "us," and "our" refer to Koho. You can find comprehensive details about our company, including registration and contact information, in Section 14.

2. The Personal Data That We Collect

  1. General Overview: Koho may process various types of personal data to provide and improve our services. This section outlines the categories of personal data we collect and the basis for such collection.
  2. Contact Data: We may collect information that enables us to communicate with you effectively. This includes names, email addresses, telephone numbers, and postal addresses.
  3. Account Data: When you create an account with Koho, we may collect information necessary to manage your account and deliver our services.
  4. Transaction Data: In facilitating services that involve financial transactions, we may process data related to these transactions.

3. Connected accounts

Our customers can connect their own advertising and analytics accounts to Koho so that we can bring their marketing performance data into their reporting. Today this covers Google Analytics, Google Ads, Meta Ads and LinkedIn Ads.

What we read. When a customer connects an account, we read reporting information from it: campaign and advertisement names and settings, amounts spent, impressions, clicks, conversions and similar performance figures, together with the reference numbers the platform uses to identify them. We read this on a regular schedule for as long as the account stays connected.

What we use it for. We use it only to produce reporting and analysis for the customer whose account it is, inside their own Koho workspace. We do not sell it. We do not share it with data brokers or advertising networks. We do not use it to target advertising, and we do not combine one customer's data with another's.

This is separate from the cookies and marketing tools described elsewhere in this policy, which relate to visitors to our own website.

Who decides what happens to it. When a customer connects an account, we handle the data we read from it on that customer's instructions and for their purposes. Elsewhere in this policy, where we describe information about visitors to our website or people who contact us, we are deciding how that information is handled ourselves.

How long we keep it. Data from LinkedIn Ads is kept for 12 months and older data is deleted automatically. Data from Google Analytics, Google Ads and Meta Ads is kept for as long as the customer's account with us is open. When a customer leaves, we delete their LinkedIn Ads data within 10 days and the rest within 30 days.

Getting it deleted. A customer can disconnect an account at any time from their Koho settings. To have the data deleted, email [email protected] or use our data deletion page. If you ask us to delete this data, or close your account, we start deleting it immediately and finish within 24 hours. We will confirm when it is done. When a customer's agreement with Koho ends, the timescales under "How long we keep it" apply instead.

4. Koho add-on for Google Sheets

Customers can install the Koho add-on in Google Sheets to send a table from a spreadsheet to Koho, and to bring a saved Koho snapshot back into a new tab of that spreadsheet.

What the add-on reads. When you use it, the add-on reads the cells you choose, or the data range of the sheet you have open, so that it can send them to Koho. It also reads your Google email address and a Google identity token, to show Koho which Google account is asking. To do this, the add-on asks Google for the current-spreadsheet-only scope (spreadsheets.currentonly). It reads and writes only the spreadsheet it is open in, and only when you choose Push or Download. It never opens another spreadsheet. It does not read your Drive files or your contacts.

What the add-on writes. When you download a snapshot, the add-on creates a new tab in the open spreadsheet, fills it with that snapshot, and makes the header row bold and adds a filter. It does not change your existing tabs.

What we do with it. We store the table you send as a snapshot in the Koho account you choose, and show it only to people with access to that account. We use the Google email address and identity token only to confirm who you are. We do not sell this data, we do not share it with advertisers or data brokers, and we do not use it for advertising. We do not use it to train generalised AI models. Koho's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

How we protect it. Data you send from the add-on is encrypted in transit (TLS) and at rest. The add-on keeps its Koho key in Google's per-user script storage and sends it only to Koho. Only people with access to the Koho account you chose can see the snapshot. Koho staff cannot read it unless they hold a recorded, time-limited access session on that account. The key can be revoked at any time.

Artificial intelligence. The add-on does not use artificial intelligence and does not send anything to an AI provider. Separately, Koho Intel has optional AI features that are off by default. An owner of the Koho account must switch them on and record consent. If an owner does, those features can send the rows of a snapshot in that account, including rows that came from the add-on, to OpenAI to produce an answer for that account's users. OpenAI does not use API data to train its models. Koho does not use data received from Google APIs to develop, improve or train generalised AI or machine-learning models, and does not allow others to.

How you stop it. Choose Disconnect in the add-on, and revoke its key in Koho under Settings, Data snapshots. The key stops working at once. It also expires 90 days after it is made. You can remove the add-on's access to your Google account at any time from your Google account permissions. To have a snapshot deleted, email [email protected] or use our data deletion page.

5. Providing Your Personal Data to Others

  1. Sharing Personal Data within Koho's Operations: To facilitate the provision of our services and the operation of our business, we may share your personal data within our organisation. This includes sharing with departments responsible for handling customer service, billing, and product development, ensuring the effective delivery of our services.
  2. Service Providers and Partners: Koho engages with various service providers and business partners who assist in operating our services, conducting our business, or serving our users. This includes providers of payment processing, data analysis, email delivery, hosting services, and customer service.

    • Comply with legal obligations, such as responding to legal process or requests from governmental authorities;
    • Protect the rights, property, or safety of Koho, our customers, or others, including for fraud protection and credit risk reduction;
    • Enforce our terms and conditions or protect our operations or users.
  4. Business transfers. In the event of a merger, acquisition, restructuring, bankruptcy, or other sale of all or a portion of our assets, personal data held by us about our service users may be among the assets transferred.

Data read from customers' connected advertising and analytics accounts (Section 3) is treated separately. It will only transfer where the recipient is bound by the same obligations and by the terms of the relevant advertising platform. Where that is not the case, the data is deleted rather than transferred, and the affected customer is notified.

  5. Anonymised and aggregated data. We may share aggregated or de-identified information, which cannot reasonably be used to identify you, with partners or for research, analysis, and business development purposes.

This does not apply to data read from customers' connected advertising and analytics accounts (Section 3). That data is excluded from this section in every form, including aggregated, de-identified, derived and anonymised forms. We do not use it for benchmarking, statistical modelling, machine learning, research or business development, and we do not combine it across customers for any purpose.

  6. Consent-Based Sharing: Apart from the scenarios outlined above, we will not share your personal data with other organizations without your explicit consent, except where required by law.

6. International Transfers of Your Personal Data

  1. General Framework for International Transfers: Koho operates on a global scale, which means that personal data we collect may be processed in countries outside of the United Kingdom.

    • Standard Contractual Clauses: For countries without adequacy decisions, we rely on standard contractual clauses approved by the UK Information Commissioner's Office (ICO).
    • Binding Corporate Rules: For transfers within our corporate group, we may use Binding Corporate Rules approved by the ICO.
  3. Transfers to Third Parties: When we share your personal data with third-party service providers or partners located outside the UK, we ensure they adhere to the safeguards mentioned above or equivalent measures.
  4. Your Rights in Relation to International Transfers: You have the right to be informed of the specific safeguards applied to the international transfer of your personal data.
  5. Potential Risks: While we take all reasonable steps to ensure that your data is treated securely and in accordance with this privacy policy, you should be aware that the transmission of data over the internet is inherently insecure.

  1. Data Retention Principles: At Koho, our approach to retaining personal data is guided by the principle of keeping data only for as long as necessary to fulfill the purposes for which it was collected, including for the requirements of conducting business, providing our services, and complying with our legal obligations.
